Administrative Executive

An Amsterdam-based organisation is recruiting an Administrative Executive to support office administration, HR, expatriates, and property matters.

This is a hands-on support role covering day-to-day administration, Dutch correspondence, employee support, and practical problem-solving.

The ideal candidate is proactive, service-minded, and willing to take ownership, learn quickly, and step in wherever support is needed.

Main Responsibilities

General Affairs & Administration

• Manage reception, visitor support, and Dutch/English correspondence
• Coordinate office supplies, mail, basic IT support, workplace matters, and company assets
• Handle Chamber of Commerce (KvK) registrations, corporate filings, and ad hoc administration

HR & Expat Support

• Manage leave records, onboarding/offboarding, pension, insurance, and internal policies
• Research Dutch regulations and coordinate immigration, and IND procedures
• Support expatriate relocation and act as a key contact for employees and family members

Property Management & Housing

• Manage company property, including VvE communication, and maintenance and repairs
• Arrange housing and utilities, and support property acquisition when required

Ideal Candidate

• Fluent Dutch and English for formal documents and business communication
• Proactive and service-minded, with a genuine willingness to support colleagues and take initiative
• Genuine interest in Japanese culture, language, and ways of working
• Able to think independently, learn quickly, and handle a variety of practical tasks with flexibility
• Interested in long-term employment and becoming a reliable member of a small international team
• Highly organised and detail-oriented, with strong digital skills including Microsoft Office, Outlook, Excel, SharePoint, Teams, and OneDrive
• HBO or WO degree, or equivalent
• A Dutch driving license is advantageous

Conditions

• Location: Amsterdam, Netherlands
• Working Style: primarily office-based
• Salary: negotiable, based on experience and qualifications
• Job Type: 1-year fixed-term contract, with potential conversion to permanent employment by mutual agreement
• Working Hours: 40 hours per week. 40 hours per week, 8:00 AM–5:45 PM, with Wednesdays until 1:00 PM. A four-day workweek is also available
• Start: immediate start upon hiring decision
