Clinical Trial Administrator

About the Role

BrioHealth Solutions is a growing medical device company developing innovative technologies for patients with advanced heart failure. With an international team and operations in Amsterdam, we are looking for a highly organized and proactive Clinical Trial Administrator to support our Clinical Operations team and expanding clinical trial activities.

This is a hands-on role within a small, collaborative team. You will support the day-to-day administration of our clinical studies, including Trial Master File (TMF) activities, clinical documentation, study tracking, and coordination with study sites and other partners.

The role is well suited to someone who enjoys working in a dynamic environment, takes ownership of their work, and can manage multiple priorities with a high level of accuracy and attention to detail.

What You’ll Do

• Maintain Trial Master File (TMF) documentation, ensuring clinical trial records are complete, accurate, appropriately filed, archived, and readily accessible in accordance with company procedures and Good Clinical Practice (GCP).
• Prepare, distribute, track, collect, and file clinical trial documentation.
• Support the collection and follow-up of essential documents from clinical study sites, investigators, vendors, and other study partners.
• Support the Clinical Operations team with study start-up, ongoing study administration, site documentation, and study close-out activities.
• Maintain study trackers, action logs, SharePoint sites, shared folders, and other clinical document repositories.
• Track outstanding documentation and study activities and support timely follow-up with internal and external stakeholders.
• Coordinate study meetings, training activities, and other clinical trial-related activities as needed.
• Support the logistics, distribution, tracking, and inventory management of investigational medical devices and related clinical materials.
• Provide additional operational and administrative support to the BrioHealth team as needed.

What You Bring

• Previous experience in clinical research, medical devices, pharmaceuticals, healthcare, or another regulated environment is preferred.
• Experience with clinical trial documentation and/or Trial Master File management is an advantage.
• Strong organizational skills with excellent attention to detail and accuracy.
• Strong computer skills and experience with Microsoft Office and document management platforms; experience with Microsoft SharePoint is preferred.
• Ability to manage multiple priorities and follow activities through to completion.
• Proactive and dependable, with a strong sense of ownership and accountability.
• Ability to work independently while collaborating effectively within a small, international team.
• Fluency in Dutch and English, with excellent written and verbal communication skills in both languages, is required.
• Comfortable working in a growing organization where priorities and responsibilities may evolve.

Working Arrangements

• Flexible working hours, with availability across most working days preferred to provide continuity for ongoing clinical activities.
• Hybrid position based in Amsterdam, Netherlands , with regular presence in our Amsterdam office ( more than 50% of working time ).
